Allocating Funds
As you get started with TPT School Express, you can choose between allocating funds to teachers individually or using School Pool mode.

Individual Allocation - You can distribute school funds in a way that works best for your school’s needs and set specific limits for each teacher.
Note: This is the default setting when you first activate your account. - School Pool - Teachers can use as much of your school's funds within the total balance as needed. There are no individual limits per teacher.
Funds can be distributed during the roster management process, or after you’ve already invited your teachers to join. It’s important to note that only Primary Admins can switch the distribution method for their school. We recommend choosing your distribution method and allocating funds before inviting teachers so they can start purchasing right away.
If you’d like to individually allocate funds immediately:
- Visit the People tab on the TPT School Express homepage
- Click “Manage Roster” to add teachers
- Input the amount of funds you’d like to allocate for each teacher in the “Allocated funds” column. The total amount of school funds will be shown right above the column so you can keep track of remaining funds.
- Once you’ve allocated the funds you wish to distribute, click “Save and send” to send invites to your teachers and save their fund allotment.
Please note that you do not need to distribute all of the school funds at once while in Individual Allocation mode. If you decide not to distribute all of the funds at one time, the remaining funds will stay in the account to distribute at a later point. This could be helpful if you anticipate staff changes throughout the year.
If you’d like to use School Pool mode, you can click “Switch to School Pool” on the bottom left of the “Manage Roster” modal. After switching to School Pool, you can click “Save and send” once all teachers are added to the roster. You can learn more about School Pool mode here.
Reallocating Funds
To make any changes to your distribution, or allocate funds at a later point, you can visit the People tab on the School Express homepage and click “Manage Roster” to update as needed.
While you can adjust the school funds allocations at any time throughout the year, we don’t recommend changing distribution amounts too often since teachers will plan their purchases based on the amount of funds given to them when they first join your school.
Funds Management
Please note that each administrator on your school’s account will be able to manage and distribute funds. We recommend that any time an administrator makes changes, they reach out to the other administrators to let them know. Only Primary Admins can change the distribution method between Individual Allocation and School Pool modes.
You’re not required to distribute all of the school funds at once while in Individual Allocation mode. If you choose not to, the remaining balance will stay in the account for future distribution. This can be especially helpful if you’re expecting staff changes during the year.
If you’ve already distributed funds, new teachers will automatically start with $0.00 and will not have any funds to use. You can either adjust other teachers’ amounts to allocate some funds to the new teachers or distribute any remaining funds.
